Job Summary:
The HVAC Service Operations Manager is responsible for overseeing and managing the daily operations of the HVAC service department. This role ensures the efficient, effective, and safe operation of service activities, focusing on customer satisfaction, staff development, and operational excellence. The HVAC Service Operations Manager will collaborate with various departments to achieve company goals and objectives.

Responsibilities:

  • Team Leadership & Management: Supervise, train, and mentor a team of HVAC technicians and service personnel, ensuring they are equipped with the tools, knowledge, and resources needed to succeed.
  • Operational Efficiency: Oversee daily operations of the HVAC service department, ensuring that work is completed on time, within budget, and according to company standards.
  • Scheduling & Dispatching: Coordinate and prioritize service requests, managing technician schedules to maximize efficiency and minimize downtime.
  • Quality Control: Ensure the quality of HVAC service and installations meet company standards and customer expectations. Perform site inspections and quality checks when necessary.
  • Customer Satisfaction: Act as a point of escalation for customer complaints or issues, ensuring timely resolution and maintaining high levels of customer satisfaction.
  • Budget & Cost Management: Monitor department expenses, including labor, parts, and supplies, and work to maintain or improve profitability through cost-effective service delivery.
  • Inventory Management: Oversee inventory control for HVAC parts, tools, and equipment, ensuring adequate stock levels while minimizing waste or unnecessary overstocking.
  • Process Improvement: Analyze current service operations, identify inefficiencies, and implement improvements to streamline workflows, reduce costs, and increase service quality.
  • Compliance & Safety: Ensure all service operations comply with local codes, safety regulations, and company policies. Promote a culture of safety in all operations.
  • Reporting & Documentation: Maintain accurate records of service calls, work orders, and project statuses. Provide regular reports to senior management on service department performance, including KPIs like customer satisfaction, response times, and revenue.
  • Training & Development: Stay current with HVAC technologies, industry trends, and best practices. Provide ongoing training opportunities for technicians to enhance their skills and certifications.

Qualifications:

  • Proven experience in HVAC service management or a related field, with at least 5 years of experience in the HVAC industry.
  • Strong leadership and team management skills with the ability to motivate and develop a team.
  • In-depth technical knowledge of HVAC systems, troubleshooting, repairs, and maintenance procedures.
  • Exceptional problem-solving skills with the ability to address complex customer issues and operational challenges.
  • Excellent communication skills, both written and verbal, to interact effectively with customers, technicians, and senior management.
  • Strong organizational and time management skills with the ability to manage multiple projects and deadlines.
  • Knowledge of HVAC industry standards, regulations, and safety practices.
  • Proficient in the use of HVAC software, CRM systems, and Microsoft Office Suite.
